CaptureProject for Open Text eDOCS DM

CaptureProject - eDOCS DM provides organisations with a powerful collaborative solution they can use to share project information and activities with partners.

Host organisations can easily create project sites, and then invite partners to participate. All project participants can upload documents, request feedback on documents through workflow, arrange meetings, and assign/execute tasks.

Security is such that only project participants have access to the project; granular security ensures that project documents may be hidden from project participants until they are issued.

Partner organisations manage their own administrative tasks, such as adding and removing project participants from their own organisation, freeing the host organisation from unwanted administrative tasks.

The solution may be licensed in a number of ways, based on number of active projects, number of users, monthly/ annual rate, etc. In this way, costs can easily be apportioned to a project.

Project Access

All participants access CaptureProject™ using a web browser. Host organisation users may be authenticated using

Active Directory credentials; other project participants with a CaptureProject username and password. New users to CaptureProject will be directed to a ‘Request Access’ page, and will be notified by email when access has been granted (link to Project Access Request section).

Project Administration

Project Administrators are provided with a wizard to define projects, and make projects live by publishing it. Once live, projects may be accessed by authorised users, and documents uploaded, revised, issued, etc.

Project organisations and members can be defined, with Organisation administrators able to manage the membership of their own organisations; defining which organisation members participate in which projects.

Each organisation can optionally specify its own document controllers for each project; these document controllers

will issue and receive transmittals created in CaptureTransmit.

Review & Approval Workflows

CaptureProject includes a workflow engine allowing project participants to initiate Review and Approval workflows based on supplied templates. Users may comment on documents using the Comments section of the workflow task, or as a redline on the document using CaptureVue (link to CaptureVue).

Text comments and red-lines may be consolidated, and issued on a transmittal using CaptureTransmit. Authorised users may also create and issue workflow templates for other business processes.

CaptureTransmit

CaptureProject™ optionally includes CaptureTransmit, providing project participants with the ability to easily create, issue and track transmittals.

A graphical distribution matrix enables project participants to select multiple documents to issue on a transmittal including receipt (i.e. e-mail, hard copy, etc) and version.

Transmittal cover sheets for each participant are automatically generated and saved to CaptureProject™ alongside deliverables as a record of what has been issued and when.

CaptureLink

The development of CAD provided increased levels of speed and flexibility to the design process. Along with this increased capability came large amounts of complex data which needed to be managed effectively.

CaptureLink™ extends the Open Text eDOCS portfolio of desktop clients by enabling drawings and their content, including, e.g. symbols and reference files, to be accessed and managed directly within popular CAD authoring applications, facilitating better decision making and improved productivity.

CaptureLink is available for AutoDesk and Bentley Microstation.

CaptureVue

CaptureProject™ optionally includes CaptureVue to facilitate the review of project related documents. CaptureVue supports a wide variety of native formats including Microsoft Office formats, and popular CAD formats (avoiding the need to install expensive CAD authoring applications).

Project participants can mark-up documents using a number of pre-defined entities (line, shapes, text, notes), and custom-built symbols, saving and retrieving mark-up layers from SharePoint.

Project Participants may collaborate real-time with other project participants, reviewing mark-ups, and making decisions using integrated chat. Collaboration sessions may be stored in SharePoint, providing a record of when and why decisions were made.

Documents may be printed, with SharePoint document attributes used in banners/watermarks. Documents may also be rendered to PDF.

Reports

CaptureProject™ includes a number of report templates, allowing project managers to report on all aspects of a project, including status of issued documents, documents under review, and a dashboard showing project progress. Authorised users may create and run their own reports.
